Corporate Administrative Assistant

Location: Broad Run, VA or Remote

JOB DESCRIPTION: As an Administrative Assistant to the Vancro Corporate Leadership team, you'll provide direct support in a variety of settings to include but not limited to the following: Screening and prioritizing communications, both external and internal; Performing ad hoc project-related duties as requested; Scheduling and arranging meetings and appointments; Preparing agendas, and other important materials; Assist Corporate Executive Team by performing various secretarial and administrative tasks; Coordinate meetings and prepare minutes; Develop presentations, coordinate travel arrangements, coordinate monthly status reporting; Maintain department organizational charts, answer phone overflow and make callbacks; Proof and format documents / correspondence, enter contact information into contact management system, maintain file system for contracts and other important documents; Handle facilities and office supply needs, handle and organize incoming mail, review vendor mailings of products and report findings; Coordinate complex, senior-level internal/ external meetings and conference calls; Handle a high volume of phones calls and interact with high level business leaders in a professional and effective manner; Handling sensitive information requiring a high degree of discretion and absolute confidentiality; Support internal and external managers or clients; respond and follow up on corporate or client requests; Maintain complex and extremely detailed calendars and prioritize meeting requests and related logistics; Coordinate a high volume of domestic and company travel arrangements; Prepare and distribute divisional correspondence, memos, letters, reports or other documents as requested; Maintain understanding of firm policies and handles certain issues independently; Coordinate department gatherings (holiday parties, luncheons, major meetings); Complete special projects as assigned; Work with confidential materials with minimal supervision; 

Perform other generic office activities Proficiency in Microsoft Word, Excel, PowerPoint and Outlook, verbal and written skills, coordination and time management skills, friendly disposition, good telephone etiquette, ability to multi-task; Performing ad hoc project-related duties as requested.

Requires the ability to work well with all levels of internal management and staff and has 1 to 5 years of experience.

Strong proficiency in MS Word, Excel, PowerPoint and Outlook.

The highest degree of integrity, professionalism, diplomacy, and discretion required.

 

Prefer 4+ years of experience.

 

SKILLS REQUIRED:

Executive administrative assistance experience or relevant work-related experience.

Experience with Microsoft Suite productivity and connection tools including Microsoft Office 365, SharePoint, Teams, and other MS365 applications such as MS Outlook, MS Word, Access, PowerPoint and Excel.

Adobe Acrobat

Proven ability to work well independently in a dynamic environment.

Excellent communication skills and the ability to focus on the details.

Managed multiple projects and priorities for yourself and others

 

EDUCATION/CERTIFICATIONS:

High School Diploma or relevant work experience

 

VARIABLE SHIFT AS NEEDED:

Hours depend on volume of requirements and vary greatly from 1 to as high as 40 hours a week depending on operations priorities.  A minimum average of 5-10 hours a week can be estimated.
