GSA Secretary Level II

Location: Vancro is seeking a Secretary Level II to support GSA activities, Robert H. Jackson U.S. Courthouse, 2 Niagara Square, Buffalo NY (START DATE: 1 OCTOBER 2022).

Duties and Responsibilities:

The following duties are performed by the incumbent on a routine basis. The incumbent will
also perform any other duties associated with completing the tasks associated with the scope of
this contract.

Occupational Base:

This position provides principal secretarial support in an office, usually to one individual, and, in some cases, to the subordinate staff of that individual. The Secretary maintains a close and highly responsive relationship to the day-to-day activities of the supervisor and staff, works independently receiving a minimum of detailed supervision and guidance, and performs various clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office. Computers may exist in the environment, requiring working knowledge of certain office software programs.

Secretary II Level of Responsibility handles differing situations, problems, and deviations in the work of the office according to the supervisor's general instructions, priorities, duties, policies, and program goals. Supervisor may assist secretary with special assignments. Duties include or are comparable to the following:

  • Screen telephone calls, visitors, and incoming correspondence; personally respond to requests
    for information concerning office procedures; determine which requests should be handled by
    the supervisor, appropriate staff member or other offices, prepare and sign routine non-technical
    correspondence in own or supervisor's name.
  • Schedule tentative appointments without prior clearance. Make arrangements for conferences
    and meetings and assemble established background materials as directed. May attend meetings
    and record and report on the proceedings.
  • Review outgoing materials and correspondence for internal consistency and conformance with
    supervisor's procedures; assure that proper clearances have been obtained, when needed.
  • Collect information from the files or staff for routine inquiries on office program(s) or periodic
    reports and refer non-routine requests to supervisor or staff.
  • Explain to subordinate staff supervisor's requirements concerning office procedures,
    coordinate personnel and administrative forms for the office and forwards for processing.
  • Collect timekeeping records from staff to input, edit, and update time sheets as requested and
    make corrections and check error reports.
  • Provide general oversight of office equipment and maintain office supply inventory.

Education & Experience:

  • High School education or GED equivalent
  • Min of 2 years of experience in field of work, (the 2 years must be within the last 5 years)

Skills:

  • Expert knowledge with Microsoft Office applications; Outlook, Word, Excel, PowerPoint
  • Ability to quickly learn other GSA/Federal- IT applications in support of duties
  • Experience working with senior level executives and office staff
  • Able to manage multiple tasks/events while maintaining orderly work environment

Must Have:

  • Must be able to pass a federal background investigation or, currently hold a federal security clearance
  • Strong understanding of the English language; able to craft letters, proof read documents and converse with senior leadership.

Highly Desired:

  • Associates Degree or higher
  • Three or more years of experience at equivalent level
  • Prior Military, or Federal experience is a plus
